The Different Types of Video Conferencing Systems

Video conferencing systems have evolved. There is one there that can surely fit your budget and specifications. To help you along the way, here are four of the types that are being used to day by government offices and private corporations.

These are namely telepresence conferencing system, integrated conference room system, set top video conferencing system and desktop conferencing system. Let us discuss each of them.

The telepresence system literally enables you to be in a meeting with other people located in other places. There are two types around. One is the portable or roll about and the immersion that is room based.

The Different Types of Video Conferencing Systems

This type of system consists of a high definition codec coupled with flat panel screens and high definition audio. The price tag for those who are interested will be from ,000 to 0,000 each which depends on the size and capabilities of what you decide to purchase.

But the most common used is the integrated room conferencing system that is used by offices and in some schools. There is a centralized location for the codec and the associated hardware. It also comes with a main camera, displays and peripheral video sources with multiple features. It is much cheaper than the first one mentioned as this is available from ,000 to 0,000 each.

Set top video systems are designed to sit on a monitor. They are small and are easy to move around should this be needed in another room when you are conducting a meeting. It is quite affordable given that vendors usually sell these from ,000 to ,000 a piece.

The last is the desktop video conferencing system that is the cheapest one around and used by people working at home or keeping in touch with friends and family members. The system is priced between 0 to 0 each and despite its size, you are still able to do voice, video and application sharing.

For those who don't to shell out cash, you can download software like Skype or Yahoo Messenger. You just need to buy the camera that has a built in microphone.

When you buy any of the four types of video conferencing systems mentioned, a technician that works for the vendor will set this up for you. Once installed, it is very easy to operate because it is user friendly so you don't have to worry about anything when this has to be operated.

Videoconferencing systems have a lot of benefits to the user. For one, you don't have to travel anymore if you want to speak to someone face to face when you can have the meeting done in the conference room.

This of course amounts to savings since you don't have to pay for airfare, traveling expenses and you no longer have to deal with the stress associated with travel.

So which video conferencing system should you get? This depends on the size of the room, the number of participants per site, the system or format you will be calling, its data capability and the preferred system integrator to put this all together.

Once you are able to figure that out, it will already be easy for you to shop for the right one that your company will be using for the long term.

Audio Web Video Conferencing Options

When considering conferencing options it is important to know what main areas are available. Audio web video conferencing are the primary options, each with their own highpoints and drawbacks. In most cases a company can easily determine which conferencing option they will primarily use and then from there can look for conferencing services that is most affordable.

Audio Conferencing

Audio conferencing is the most basic conference service available. Audio conferencing is a very simple set up requiring only a telephone and a toll free number. Some of the benefits with choosing a strictly audio conferencing service is that is the cheapest of the conferencing services. Pricing is based on a flat rate and depending on the service provider, some extras are included free with the basic package. Some of the drawbacks with audio conferencing are due to its relatively basic set up; the options may not completely meet the needs of a business. For larger audio conferences it will not be possible for everyone to provide verbal feedback. Out of the three services, audio web video conferencing, audio is the most basic.

Audio Web Video Conferencing Options

Web Conferencing

If audio is too basic for a company's needs, web conferencing may be a more acceptable solution. The level of involvement in a web conference can range from viewing simple text via a central server, or even with the addition of audio provider real time voice as well. Web conferencing is a little more costly depending on how much interaction the software allows. Also with web conferencing every participant will need to be online, which means everyone would need a computer and access to the Internet. If the conference is audio web video conferencing, it will have to be a high-speed connection. While web conferencing is usually more expensive, the fact that infinite amounts of data can be transferred and immediately reviewed easily out-weighs that.

Video Conferencing

Occasionally a company will decide to roll up audio web video conferencing all into one package. Most commonly this service is referred to as simply video conferencing. Because video conferencing usually combines audio web and video utilizing an online connection, it can most accurately replicate the feel of being in the same room with someone. Video conferencing is of course one of the most expensive options, but with a little planning doesn't have to be out of range.

Either way you go there are tons of audio web video conferencing options that can meet your needs and budget requirements.

What is Video Conferencing?

What is video conferencing?

Video conferencing is a communication technology that integrates voice and video to connect the remote users with each other via internet as they are in the same room. Each user needs a computer, microphone, web cam and a broadband internet connection for participating in the video conferencing. Users at both the ends see and hear each other in real time allowing natural conversation. Many communication companies have been dabbling in video conferencing technology.

Good bandwidth is needed for high quality of the video conferencing. Video conferencing got more popularity with the release of Microsoft Net meeting. Now currently there are a numbers of companies that are promoting the video conferencing software.

What is Video Conferencing?

Video conferencing is very appealing to the educational and business sector. Video conferencing made it possible to bring the users closer (virtually face to face) hence saving the cost and time. Many universities have adopted video conferencing as an educational tool. Businessmen around the world use video conferencing to keep in touch with other people.

Video conferencing is in more demanding phase and more video conferencing applications and technologies are in the development and improvement process. Eventually video conferencing will allow the creation of the virtual cities, online places where people can work together without the need of physically present in the same premises. Using a computer, video camera and a broadband internet connection, you can establish a video conferencing connection.

Video conferencing is a very useful communication method because it can save the time and traveling cost of the people. A video conference between two people is known as point-to-point and among the more people is known as multipoint conference. Besides the audio and video transmission between the people, videoconferencing is also used to share the documents, computer displayed information.

More improvement is being made in the videoconferencing applications by which people can work and manipulate on the same documents and computer applications at the same time. IEEE gives standard and guidance for the development of videoconferencing. The H.320 standard tells that how video conferencing operates over ISDN telephone circuits. The H.323 standard tells how videoconferencing operates over the Internet (TCP/IP or IP).

The quality of the videoconferencing depends on the characteristics of the circuit between the conferencing sites. In H.323 world, a high quality conference needs about 768Kbs of bandwidth. In the universities and college campuses a higher bandwidth connection of 10Mbs is required.

Following are the some rules for the bandwidth, required for videoconferencing.

Bandwidth Usage

768Kbs this is used in campuses and gives excellent quality.

384Kbs this bandwidth also gives good connection with IP and ISDN lines.

256Kbs Audio is okay but video is not full motion.

128Kbs both audio and video are not excellent.

If you have to choose between ISDN and IP for your videoconferencing connection you should consider two things quality and cost. With the IP based connections there is no additional cost. On the other hand, even though there is some additional cost with the ISDN connection, but you get a constant speed and excellent connection quality and with the IP based connection, due to the commodity internet you do not have guaranteed bandwidth.

Videoconferencing has different advantages. Here are the some advantages of the videoconferencing technology.

· By using the video conferencing the faculty members can keep in touch with class remotely.

· Guest lectures can be conducted in a class from a different institute locally ore remotely.

· Scientist and researchers can collaborate with each other at different institutes on the regular basis.

· Researchers and teachers can answers the questions from an agency.

· Marriages in some countries are being performed by using the video conferencing technology, if the one partner is at one end and the other is abroad. The people at both ends can see each other.

· Student interviews with an employer in another city or country.

Telecommuting

Telecommuting is now being used to connote a broader activity, which includes the individual interaction and collaboration that takes places between home based entrepreneur, consultants and business partners

Telemedicine

Video conferencing is also being used in the telemedicine.

Distance Learning

Educators in elementary, secondary and higher education and corporate training are using videoconferencing. Video lectures are becoming the commonplace. There are other applications that virtually getting the remote guests in the class room and conducting the important lectures. These are great opportunities to add value to the educational process using video conferencing as a tool.

The internet has made possible several marvelous technologies that enhance our lives in many ways. One very useful technology that has been gaining ground recently is video conferencing over the internet. Let's examine what it is and how it can be used effectively.

Video conferencing essentially allows a group of individuals anywhere around the world who have internet access to be able to hold a simultaneous meeting together without having to physically meet one another in any specific location. It's a method of combining simultaneous video and audio so that a meaningful discussion or meeting can take place in real-time over the internet.

So what do you need in order to have a video conference? Successful video conferencing components include video cameras, microphones, video conferencing software, and the computer equipment necessary to connect to the internet and process the sound and video data.

Video Conferencing - How It Works And Why You Should Use It

In order to accomplish the transmission of the video and audio portions of the meeting, the video conferencing software that is used must take the input from the microphones and cameras, convert them into digital signals that are encoded and then transmitted across the internet where they are received and decoded back into images and sound on the other end.

So who can make use of this advanced communications technology? Well, almost anyone who needs to meet with a group of other people who may not be local to them. Quite a few businesses are adopting this technology because it allows them to be able to communicate with personnel and offices no matter where they are located around the world, and share important ideas and planning strategies. And the biggest advantage for business is that they don't have to pay for the travel costs necessary to bring all of those people together at one time, and they don't lose productivity spent during the travel time to get there. So for many businesses it's a very positive solution for office related communications.

Schools are also starting to use video conferencing quite a bit as distance learning over the internet continues to rise in popularity. It enables them to be able to teach subjects, and hold classes over the internet for their students without them having to be physically present.

There are many other ways to make good use of internet video conferencing, as they can be beneficial for almost any group of people that needs to meet and discuss important topics in real-time without physically gathering together in the same place.

Hopefully the information presented in this article will help you understand more about how video conferencing actually works, and who can best make use of this marvelous technology.

These factors are so important that if you do not get them right, your video conference experience will be a nightmare that you want to forget as soon as possible. Now, let me share with you some tips to plan a successful video conferencing:

1. Keep your video conference short. Nobody likes to sit in a room and stare at a screen for hours. So make sure that you plan your conference to last for no longer than 1 or 2 hours. Longer sessions will make your attendees tired and lose concentration - which will defeat the purpose of organizing a conference.

Video Conferencing - How to Plan a Successful Video Conferencing

2. Plan the conference way before the actual event. You should plan your video conference in advance. Talk to your IT department so that they will know what to set up on the actual day. If you are dealing with an overseas conference, coordination with the overseas party is a key factor that will determine whether your conference will be a success or not. Make sure that all necessary information and materials are ready before the event. Plan out the seating arrangement and attendant list too.

3. Make sure that all equipments are ready to use. Test the equipments before hand to ensure that they are working well. You should also hand in all materials for transmission to the site technician at least 2 days before the actual event. This is to ensure that the technician can get familiar with it.

4. Use bigger font size. As it is very tiring for people to stare at a screen for long hours, you need to ensure that the font size of your text is big. This will at least make the attendees feel better.

5. Have a backup plan. You will never know what will happen on the actual day. So make sure you have a backup plan. If the camera is not working, what can you do? Is there a backup camera or projector? You get what I mean.

If you spend enough effort and time to plan your video conference, you can ensure that it will be a success. So spend some time to plan out the details now. It will be worthwhile at the end of it.

Video Conferencing Software - Necessary Video Conferencing Equipment

Web Conferencing is an efficient method of generating a common communicational channel for different individuals residing in different geographical areas of the world. In order to arrange for a profitable web seminar, you must purchase all the necessary video conferencing equipments. Several varieties of software and hardware machinery are available in the market for organizing a webinar. In this context I would like to state that video software is the most essential video conference equipment required for conducting this event. You can easily acquire several free software and online IM tools for this purpose. I am quite sure that you must be familiar with Skype, Yahoo, AIM etc. These programs help you in conducting a web seminar.

If you are seeking easy-to-manage software for a face-to-face conversation then you can try using free chat portals or instant messengers for this function. On the contrary, if you need it for organizing a commercial event then you need something better. You require software that is capable enough to deliver all your messages to different hosts present in different geographical areas, at once.

Professional video conference software equipment offered by online stores will surely help you in setting up a grand presentation. These tools help you in uploading quick feedback plus, let your spectators simultaneously interact with you. They can also put up queries by using a microphone.

Video Conferencing Software - Necessary Video Conferencing Equipment

Prior to this downloading process, make sure that the downloaded program comes from reliable and safe place. It should be easy-to-manage and uncomplicated. It's my personal advice that you should definitely go through customer reviews and company ratings, before purchasing it. Better check out the customer feedback and user description that comes with the video conferencing equipment purchased by you. This way, you can get a clear-cut idea regarding the usage, functioning and limitations of your tools.

If you wish to check the compatibility of the software with your hardware and the operating software then you should run it on your system once. For organizing an efficient and quick webinar, you might need a webcam and a microphone, but a few offices lack these video conferencing equipment. Thus, you simply need to check if you can still run it on your system, without the mentioned tools installed in it.

If the entire process of assembling components seems tedious and time consuming then you should perform it overnight. Besides, if you've stored a demo copy then let me tell you that will work only for a short time span. It does not work beyond its time limits. And so, if you want to arrange an audio webinar then better put your finances in a small-scale and reasonable program.

Video Conferencing Software - Necessary Video Conferencing Equipment

Despite the fact that video conferencing equipment and related software are pretty costly still, you can definitely save money on your purchase. Just in case you're thinking of arranging for several seminars, let me tell you that by adopting this technology, you will save money on your travelling and communication. This method is complex but fruitful for your commercial interactions. So go ahead and search for the best available tools and, get ready to organize a grand official conference.

1. Set up your conferencing equipments properly. To hold a successful webinar, you must get the equipments in place. The quality of the equipments is very important as it will directly affect your video. For example, if you use a low pixel camera, the video output will be grainy.

Video Conferencing - How to Conduct a Successful Webinar

2. Avoid slow Internet connection. The most common reason why webinars fail is because of slow internet connectivity. Your connection speed should be at least 3mbps.

3. Prepare yourself for the webinar. Before you conduct a webinar, you need to prepare. Plan out the agenda and things that you want to share with your participants. Also, familiarize yourself with the video conferencing platform so that you can guide your participants. If you have one bad experience, you should not give up on video conferencing. Practice makes perfect. By holding more webinars, you will improve and become proficient at it.

4. Send out your invitation early. You need to send out invitations to your guests at least 2 weeks before the actual date. If you are holding a commercial webinar, you should consider advertising it. By building buzz around it, you can attract more people to attend it.

5. Try your best to engage your audience. If your webinar is boring, people will leave. Even if you are using it to pitch your product or service to a potential customer, you must make your presentation as engaging as possible. Again, this takes practice. Video Conferencing - How Law Firms Can Benefit

Video conferencing has been used by law firms for many years, but only until recently has it become affordable for even the smallest of firms. Equipment that cost tens of thousands of dollars only a few years ago, can be purchased for a fraction of that cost today. The products have become more reliable, easier to use, more compact, even portable, and their capabilities and features have been enhanced drastically. Popular thinking seems to indicate that now is the time to get your firm started with video conferencing, but not surprisingly, many firms encounter unnecessary technical obstacles and set backs due to poor planning. The following are important points you should keep in mind before getting started with video conferencing:

How you will use the technology

Video Conferencing

For many law firms, video conferencing is first used as a way to reduce traveling for internal meetings between practices located in different cities. But there are other factors to consider. How far are the courthouses your firm serves? Do they allow video depositions or other video-based communication for legal procedures? If the addition of video conferencing will save many, or all, of your attorneys significant amounts of time in commuting and improve the productivity of their work day, then video conferencing will definitely help to grow your practice.

Video Conferencing - How Law Firms Can Benefit

The resources you'll needed

IP (Internet Protocol) networks are superior to ISDN (Integrated Services Digital Network). If you have 384 kilobytes of bandwidth available to and from each video conferencing device, you should be able to enjoy a good quality video call. Realize however, that if your network is shared with other resources, it may compromise the quality of your conferences. A dedicated network specifically for video conferencing, or a managed IP video network like IVCi's IntelliNet, would ensure the best user experience.

Once you define your network, you need someone to manage it. Although your firm's technical staff may be able to manage your conferencing network, there are more efficient ways to ensure steady and healthy performance of your video conferences. Some conferencing providers perform 'managed services' that take all of the work out of your hands. Do a search in Google for "managed conferencing services" and you'll find a list of companies that will allow you to reap all of the benefits of video conferencing while eliminating your need to purchase expensive network equipment and hire additional support staff.

The following are steps you can take to be ready for your video conferencing implementation:

Talk with your attorneys and identify those individuals who are ready to reap immediate benefits from the technology; those who would be ready and willing to start using video conferencing right away.

Once you define the extent of usage, you can calculate the amount of time that your attorneys will be freed up to work on other cases. In many instances, the time saved adds up to dozens of hours per month, per attorney. With more time available, they can work on additional cases, thus growing the practice.

Video conferencing is best executed in phases. Features that satisfy the most important needs of the practice should be implemented in the first phase. Define what you need, find out what it costs and budget for that phase. As need and demand grow, you can budget for future implementations as they arise. Always work with conferencing providers that create scalable solutions.

Do some simple math. Once you define how much usage your firm will have, you can compare that figure to your budget. It's as easy as that.

The Top Advantages Of Video Conferencing

Videoconferencing is rapidly gaining in popularity, and it's hardly surprising. Basically, videoconferencing allows people to communicate in real time, no matter where they are located. It can be as few as two people, or it can be thousands. The participants can hold a meeting or conference, compare charts and generally do everything they could do if they were all in the same room together. This is all done via audio and video transmission through the wonders of the internet.

The list of advantages gained from using videoconferencing is long, but here are a few of the main advantages. The most obvious advantage is the enormous savings involved when people don't need to travel. An average business trip usually involves at least one night spent in another place, and costs incurred include flights, transport, meals, accommodation, entertainment, and the list goes on. If you need ten people at a meeting, and add together all the costs involved, the total is staggering.

Video Conferencing

Remember, too, that not only is travel costly, it takes time. So those ten executives have to take two days out of their busy schedule, for example, to attend a half-day meeting at head office. With videoconferencing, they can allocate the half-day, and spend the other day and a half doing productive work in their office. Using videoconferencing provides big savings in both money and time.

The Top Advantages Of Video Conferencing

If the video conference involves one person or team making a presentation, they're in their home environment. So they can't accidentally leave the most important graph on their desk back at the office - they have everything readily available. It also means that questions can be answered fully, instead of the presenter needing to return to his office before he could access the required information.

Videoconferencing also makes it easier for business to access outside experts. In a medical environment, for example, researchers from around the world can get together regularly and compare notes, making it easier to pool their findings and accelerate the process of finding answers. This type of collaboration would never happen if the experts were constantly required to travel to stay updated, because they'd never have time to do their research. Cooperation on this level isn't just beneficial for the medical profession; it can be used in almost any profession you can think of.

A slightly less direct benefit, but a benefit just the same, is that employees will need to learn the basics of presentation skills and research, in order to participate productively in videoconferencing. This encourages the employee to stay up to date with information relating to their field, so that they're confident they can answer questions during a videoconference if required.

Videoconferencing is also a great deal more personal than a phone conference. A high percentage of our communication is through non-verbal cues, so seeing the person making a presentation can gives us so much more information. It also means that visual aids can be used, which speeds up the process of explaining certain types of information. There's no need to wait while a set of graphs is posted, faxed or even emailed and printed - you can see them instantly. And if extra information is required, it can be pulled out of the file and displayed, with no need for any delay. If you're using videoconferencing to deal with a potential client, it becomes much easier to develop a personal relationship, which is an important element in any business relationship.

Video conferencing also means that all the required people can be present at the meeting. Previously, expense considerations may have meant that only one employee could attend a certain meeting, and upon their return they would then brief everybody else about what went on. This inevitably left gaps in the feedback, as no one person would take in every single thing that occurred, or would even know that one particular piece of information was of special importance to another staff member. Videoconferencing means that everybody hears and sees everything, and can extract the information that is most relevant to them. They also get a personal feel for the other people involved in the conference.

There's no doubt that business will be quick to utilize videoconferencing, once the numerous benefits become clearer. The potential for business is enormous, and as technology improves and prices drop, videoconferencing will become as standard in businesses as the fax machine or personal computer.

Video Conferencing

Advantages and Uses of Video Conferencing

- Telecommunicatio

- Emergency Response

Advantages and Benefits of Video conferencing

Perhaps the biggest advantage or benefit video conferencing has to offer is the ability to meet with people in remote locations without incurring travel expenses or other expenses associated with face to face communication. Business meetings, educational meetings, healthcare conferences and more can all be easily conducted thanks to video conferencing technology. Individuals living in remote areas can also use video conferencing to keep in touch if you will, with the world at large.

More people are easily accessed and contacted using video conferencing. Because of this technology information and knowledge are often disseminated at more rapid rates, and collaboration between people occurs more willingly and freely. Students can take advantage of video conferencing to take classes at distant locations that would normally be unavailable. They can also take classes that will accommodate busy schedules.

Video conferencing can stimulate better brainstorming, knowledge sharing and information gathering. Businesses can use video conferencing to provide presentations to key members of an organization or to solicit new clients in a professional manner, regardless of their location. The possibilities for communication are virtually endless thanks to video conferencing technologies.

10 of Our Favorite Video Conferencing Tips

Video conferencing is a highly technical, vastly complicated technology that has been structured from the ground up to be as simple and user-friendly as possible. Even though video conferencing has only really become a viable medium in the past few years, it's taken off as an attractive option when communicating with friends, families, colleagues, and clients. Despite its simplicity, there are many things you can do to - or not do - to ensure a great virtual meeting.

1. Give and take -- questions and answers -- are the bedrock of communication. In a video conference, you are hampered by not having everyone in front of you. This is especially apparent when you ask a question, as it is sometimes difficult for your participants to know who you are talking to. Make sure you say a person's name at the beginning of your question.

Video Conferencing

2. An issue specific to virtual meetings is the mute button. Mute buttons are essential to having a well-ordered and quiet meeting, and their use should be encouraged. However, they can slow up Q&A sessions, especially impromptu ones. When you ask someone a question, make sure you give them a few seconds to respond. This allows them time to unmute themselves.

10 of Our Favorite Video Conferencing Tips

3. With everyone separated, it's difficult to get a consensus. Asking people to raise their hands if they agree only really works in smaller video conferences where you have a window for each person. On larger calls or multiple meeting rooms, it can be impossible to get an accurate answer. Couch your questions to address the least amount of responses. For example, don't ask if everyone understands; ask who doesn't understand.

4. Video conferencing technology is hi-tech, but that just means it will do what it is supposed to. Shouting or speaking loud is not only annoying, but it also shows inexperience with virtual meeting technology. Speak in a normal tone of voice. Don't worry, they will hear you.

5. If you can't help but worry that people can't hear you, test your sound first. Get your participants to introduce themselves at the beginning of the conference. Not only will this help break the ice, but will also allow you to hear their volume and sound quality. If you're still anxious about your own output, simply ask someone if they can hear you well.

6. It may feel counterintuitive, but you shouldn't look very often at the people on your screen, especially when you are addressing them. The best place to look while speaking is directly into the camera lens. Your participants will get the impression that you are looking directly at them. This creates a more trustworthy, congenial experience between them and you.

7. If you've done your preparations correctly, you know exactly how far you can move while in front of your camera. To help you hit your "mark," use your mouse as your anchor point. Hold on to the mouse naturally while setting up your camera. Then, as you move back and forth pay attention to how far your arm bends or straightens. When you're live, you'll be able to keep yourself on screen without distracting yourself.

8. Unless you have dropped ,000 to 0,000 on your video conferencing setup, you won't have perfectly smooth, indistinguishable-from-real-life video. So, you need to work within the limitations of you and your participant's equipment and bandwidth. The most important thing to remember is to keep your gestures small and your movements slower than normal. A little attention to this detail will minimize any choppy effects.

9. Your cloths say a lot about you, but through a video conference, some clothes say it loudly. To provide the best view of you, try to dress in light pastels and muted colors. Bright, loud colors can make your skin look weird on screen. Don't wear all-light or all-dark colors to avoid any white balance or contrast issues. Busy patterns too are something to avoid.

10. While your clothes are telling your participants about you, so is the spot that you chose to do your conference from. Other than the obvious point that what you have on your desk and behind you will make impressions on your participants, they can also be detrimental to your video quality. Try to have a clean or bare background with a neutral color. Keep all camera-visible areas neat and decluttered. Not only will you look better on screen, it says something about how you work.

Video conferences are a great way to save money, time, and energy while still getting as much or more work done than before. They are hi-tech and worth a lot of "cool" points in the business world. If you put in the time and planning, your video conferences can be like the technology itself: complicated, yet smooth and on the cutting edge.

Video Conferencing Pros and Cons

Video conferencing solutions allow participants in a meeting to see and hear each other, making for an interactive conference. Video conferencing is also used for educational training, surveillance, emergency response and security. When video conferencing is used correctly, it has a significant effect on the way people do business and the success of the business. Decisions can be made faster and deals sealed quicker. This enables you to stay in front of your competitors.

Another obvious benefit of using video conferencing is that it allows people, especially business owners, to meet with their clients from any location, This obviously saves a great deal of time and money that can be better spent for educational training, etc. Video conferencing is also used to provide customer service and for sales.

Video Conferencing

Unfortunately, with the pluses that come with video conferencing, there are some limitations. This sophisticated technology requires months to design a network and install conferencing equipment. The initial cost is very high. A conference room has to be available for the video system to be installed, and the system might be underutilized. Also, the system itself will need at least one staff person to run the technical part of any conference. This could also be an under utilization of staff time.

Video Conferencing Pros and Cons

There are still problems with this video technology, thus there can be a lot of wasted time that can cause disruptions, etc. It can also sometimes be difficult to really see how a particular client or group may be reacting via video conferencing.

Cheap Conferencing - Web-Mediated Communication Made Easy - 5 FAQs

Human communication is a cornerstone of good business. While simple customer transactions are increasingly being carried out online without any human interaction, most behind-the-scenes business decisions today are still being made by two or more people communicating extensively.

Of course, throughout history, most business meetings and conferences have been carried out via in-person meetings. But starting about 6 or 7 decades ago, telephones started to become an essential tool for making things happen in business.

Video Conferencing

But nothing since the advent of the telephone has rivaled the revolution in business communications witnessed with the rise of the Internet. Since the late 1990s, Web-mediated conferencing technologies have gone way beyond e-mail or text chats to new levels of sophistication.

Cheap Conferencing - Web-Mediated Communication Made Easy - 5 FAQs

If you are looking for cheap conferencing, Web-mediated communication is the way to go. Here are 5 FAQs about cheap Web conferencing:

1. How does Web-mediated conferencing differ from phone-only conferencing?

A: Using the telephone to talk about business ideas, conduct training and make sales to customers limits the communicators to just one dimension of communication: the voice. By contrast, Web conferencing bring into play additional dimensions such as video, live text chat, whiteboards, and application sharing. And, since Web-mediated communication leverages the essentially free infrastructure of the public Internet, it is cheaper to operate on a per minute basis than is phone-based conferencing.

2. How does Internet conferencing differ from in-person meetings?

A: Web-mediated conferencing (or Internet conferencing) also offers advantages over in-person  - or "face-to-face" - meetings. Namely, these two: a. cost of meeting attendance, and b. the ability to meet almost instantly.

To illustrate the difference: with in-person meetings, you need to take some form of transportation (car, plane, bike, boat, train, etc.) to physically visit the person with whom you want to meet - for which you often need to set an appointment far in advance. However, with Internet meetings the time lag between deciding to meet and actually meeting could be as little as 2-3 minutes.

3. What are the things to look for in a Web conferencing system?

A: There are a number of features to look for in a good system. Of course, what is actually available to you depends upon which system(s) you are considering. But, some of the features that may interest you in these systems are: whiteboard sharing, application sharing, website sharing, desktop control, desktop viewing, voice over IP (VoIP), online chat, ability to record meetings for later reference, audience polling, audience testing, streaming media, and various security features.

4. How many people can use an Internet meeting system at once?

A: Many systems are designed to be used by up to 20 attendees at once. However, several of the webcast and webinar software applications can accommodate up to hundreds or thousands of attendees (usually in listening/watching mode only, albeit with some feedback capability) at a single time.

5. Are there any drawbacks to using online communication for business meetings?

A: The only drawbacks to using online communication technologies relates to the limitation of not being able to experience certain types of non-verbal communication present in most face-to-face meetings, such as body posture, subtle facial expressions, and surrounding visual cues in the room.

If you are looking for cheap conferencing, Web-mediated communication is something that your company should be seriously considering.

The Advantages and Disadvantages of Video Conferencing

Video conferencing is similar to the popular video phones where you can call anyone around the world and not only speak with them, but see them on your computer or television screen during the conversation. The difference is that video conferencing is intended to work for larger conferences rather than serving the needs of individual consumers, often using closed circuit television.

While many businesses have taken this technology under wing as a useful tool, there are advantages and disadvantages of video conferencing which must be considered before you decide if it will work for your meeting needs or not.

Video Conferencing

Advantages

The Advantages and Disadvantages of Video Conferencing

1. Reach anyone you need to reach immediately, no matter what time of day it may be for anyone involved. Time differences between states and countries can be overlooked without anyone traveling long distances for the conference.

2. While a phone call may suffice for two people who need to have a short conversation, web-based conferencing allows large rooms of people at different locations to interact with one another effectively. Ten business execs in Amsterdam can easily interact with five others in New York and two in Tokyo to create a full conference with everyone able to see and hear perfectly.

3. PowerPoint and other visual displays can be shared with everyone attending the conference at the same time, giving the feel of everyone being in one room and keeping everyone on task and focused.

4. Virtual whiteboards allow people from different locations to add in their own thoughts or ideas into one collaborative space. This enables everyone to form a plan of action or collaborate on a design or slogan instantly.

5. It is possible, with some services, for everyone to gain access to another computer, seeing whatever is on that computer screen. With more advanced services, a document can even be changed and typed into directly from other computers connected into the conference. Businesses that require active collaboration on one project form can be greatly enhanced with this possibility.

Disadvantages

1. The price may be the biggest drawback for some people, though there are very cheap options if you do not require the more advanced features. Usually, a business that can make good use of the more advanced features often finds that the money they save flying clients or employees around the country or world more than makes up for the cost of the service provider. As fuel becomes more of an issue around the world, the price becomes less of a disadvantage and more of an advantage.

2. There are some human ways of communicating that do not translate very well over a distance, such as eye contact. When you sit in the same room with someone and listen to a speech or presentation you will make eye contact and they will judge who is paying attention by looking around the room. Much of this contact is not easily delivered through a webcam.

The advantages and disadvantages of video conferencing have to be weighed against your purpose and whether there will be something valuable lost through this technology that you don't want to give up.
